Our Privacy Principles

At the core of ZyncQ is the ability for you to create, manage, and share your digital identity with the people you choose. Data privacy is fundamental to the product we offer. We believe you should always be in control of who gets your information.

We have designed our product with the following principles in mind:

Your Data is Yours

We do not sell your Personal Information to third parties. Your data is yours to share with your network.

Secure Storage

ZyncQ uses industry-standard security measures, including encryption and access controls, to protect your information.

Safe Sharing

Every ZyncQ digital card has a unique QR code and web address. Those you share your information with will be able to view your details. If they share your card with others, those individuals may also be able to view your details.

Control and Transparency

ZyncQ aims to be transparent about how your information is used and gives you tools to manage your data and privacy preferences.

1. Introduction

This Privacy Policy ("Policy") describes how the Personal Information you may provide in the ZyncQ software applications ("Software Applications" or "Service") and any of its related products and services (collectively, the "Services") is collected, held, protected, and used. It also describes the choices available to you regarding our use of your Personal Information and how you can access and update this information or contact us with questions about our privacy practices.

DIAN Technology Solutions ("ZyncQ", "we", "us", or "our") is the operator of the ZyncQ application and related Services. By accessing and using the Software Applications and Services, you acknowledge that you have read and understood this Policy.

This Policy does not apply to the practices of companies that we do not own or control, or to individuals that we do not employ or manage.

2. Information We Collect

2.1 Information You Provide to Us

You may access certain parts of the Services without directly identifying yourself. However, if you wish to use the features in the Software Applications, you may be asked to provide certain Personal Information. When required, this information may include:

  • Email address
  • Password (for manual sign-up)
  • Profile picture

Personal vCard Information:

  • Full name, phone number, email address
  • Residential address
  • Job title, company name
  • Website or portfolio URL
  • Social media links (LinkedIn, Instagram, X/Twitter, Facebook)
  • Bio / About Me section
  • Profile picture
  • Theme color selection

Business vCard Information:

  • Full name, designation, email address
  • Mobile number, WhatsApp number
  • Company name, company logo, tagline
  • Industry and business type
  • Website URL, business address, Google Map location
  • Social media links (LinkedIn, Facebook, Instagram Business, X/Twitter, YouTube Channel, WhatsApp Chat Link)
  • Profile picture
  • Theme color selection

Company Profile Information:

  • Business name, tagline, industry, business type
  • Year established
  • About the business description
  • List of services and products
  • Working hours
  • Business email, phone number, WhatsApp contact number
  • Website URL, business address, Google Map location
  • Social media links (LinkedIn, Facebook, Instagram Business, X/Twitter, YouTube Channel, WhatsApp Chat Link)
  • Company logo
  • Company profile document (PDF, PPTX, or DOCX — maximum size 5 MB)
  • Theme color selection

2.2 Information Collected Automatically

When you use the Software Applications and Services, certain information may be collected automatically by our systems, including:

  • Device type, operating system, and version
  • Browser type and version
  • IP address and general geographic location (city, state, or region)
  • App usage data, pages visited, and features used
  • Date and time of your activities on the Service

This information is used to help maintain the security and operation of the Software Applications and Services, identify potential cases of abuse, monitor system performance, and establish statistical information regarding usage.

2.3 Information Collected via Device Permissions

With your explicit consent, the Software Applications may access the following device features:

  • Camera: Used for scanning QR codes via the Scan feature. ZyncQ accesses your device camera only when you navigate to the Scan Screen and grant permission.
  • Photo Library / File Storage: Used for uploading profile pictures, company logos, and company profile documents (PDF, PPTX, DOCX up to 5 MB).

We do not access these device features without your permission, and you can revoke access at any time through your device settings.

2.4 QR Scan History (Local Storage)

When you scan QR codes using the ZyncQ scanner, the scanned QR code results (in URL format) are stored locally on your device. This scan history data is not transmitted to our servers and remains entirely on your device. You can view your scan history within the app. Clearing the app data or uninstalling the application will remove this locally stored scan history.

2.5 Information from Third-Party Authentication

If you choose to sign up or sign in using Google authentication, we receive basic profile information from Google, including your name, email address, and profile picture. We use this information solely to create and manage your ZyncQ account. Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

3. How We Use Your Information

We collect and use your Personal Information for the following purposes:

  • Create and manage your user account
  • Generate QR codes linked to your digital cards (Personal vCard, Business vCard, Company Profile)
  • Display your digital card content when your QR code is scanned or your shareable URL is accessed
  • Store your generated QR codes and digital cards in your dashboard
  • Enable sharing of QR codes as PNG images or URLs
  • Provide digital card preview and theme customization features
  • Send administrative information (account verification OTPs, password updates, service notifications)
  • Respond to inquiries and provide customer support
  • Improve the Software Applications and Services
  • Monitor and analyze usage trends to enhance user experience
  • Protect against abuse and malicious users
  • Enforce our terms and conditions and policies
  • Comply with legal obligations

If you do not provide the information that we request, we may not be able to provide you with the requested products or services.

4. How We Share Your Information

4.1 Public Visibility of Digital Cards

When you generate a QR code for a digital card, the information you have entered into that card becomes accessible to anyone who scans the QR code or accesses the shareable URL. You control what information you include in your digital card before generating the QR code.

4.2 Service Providers

We may share your information with trusted third-party service providers who assist us in operating the Software Applications and Services, including:

  • Firebase Authentication (Google) — Secure sign-in, account verification, and session management.
  • Google Cloud Storage (Google Cloud) — Encrypted storage for profile media, QR assets, and uploaded files.
  • Razorpay (Razorpay Software Private Limited) — Payment processing for subscriptions and billing.
  • Brevo (Sendinblue / Brevo) — Transactional email delivery (OTPs, notifications, and support correspondence).
  • Analytics providers that help us understand product usage and improve the Service

These service providers are authorized to use your information only as necessary to perform services on our behalf and are subject to confidentiality obligations consistent with this Policy.

4.3 Legal Requirements

We will disclose Personal Information if required or permitted by law, such as to comply with a subpoena or similar legal process, and when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.

4.4 Business Transfers

In the event of a merger, acquisition, or sale of all or a portion of our assets, Personal Information associated with user accounts may be transferred as part of that transaction. We will notify you via email or prominent notice within the Software Applications before your Personal Information becomes subject to a different privacy policy.

4.5 No Sale of Personal Information

We do not sell, trade, or rent your Personal Information to third parties for their marketing purposes.

5. Data Storage and Security

5.1 Storage

We store your account information, digital card data, and generated QR codes on secure servers. QR scan history is stored locally on your device and is not transmitted to our servers.

5.2 Security Measures

We maintain reasonable administrative, technical, and physical safeguards to protect your Personal Information against unauthorized access, use, modification, and disclosure. These measures include:

  • Encryption of data in transit and at rest
  • Secure authentication mechanisms (including OTP verification)
  • Access controls limiting data access to authorized personnel
  • Regular security monitoring and assessments

While we take reasonable steps to protect your Personal Information, no method of data transmission over the Internet or wireless network is completely secure. We cannot guarantee absolute security of your information.

5.3 Data Breach Notification

In the event we become aware that the security of the Software Applications and Services has been compromised or users' Personal Information has been disclosed to unauthorized third parties, we will investigate the incident and take appropriate measures to mitigate its impact. Where required by applicable data protection or breach notification laws, we will notify relevant regulatory authorities and affected individuals through email, in-app notice, or other reasonable means.

6. Data Retention

We retain your Personal Information for the period necessary to fulfill the purposes described in this Policy, comply with our legal obligations, resolve disputes, and enforce our agreements, unless a longer retention period is required or permitted by law.

When you delete a QR code from your dashboard, it is removed and becomes inaccessible. If you request deletion of your account, we will delete your Personal Information from our active systems, though we may retain certain information as required by law or for legitimate business purposes (such as fraud prevention or resolving disputes).

We may use aggregated, anonymized data derived from your information after you update or delete it, but not in a manner that would identify you personally.

7. Your Rights and Choices

Depending on your location and applicable data protection laws, you may have the following rights:

  • Right to Access: Request information about the Personal Information we hold about you and obtain a copy.
  • Right to Correction: Request correction of inaccurate or incomplete Personal Information.
  • Right to Deletion: Request deletion of your Personal Information or your account.
  • Right to Restrict Processing: Request that we restrict the processing of your Personal Information in certain circumstances.
  • Right to Object: Object to the processing of your Personal Information for certain purposes.
  • Right to Data Portability: Receive your Personal Information in a structured, commonly used, and machine-readable format.
  • Right to Withdraw Consent: Withdraw any consent you have previously given for the processing of your Personal Information.

7.1 Account Management

You can review, update, or correct your profile information directly within the Software Applications through the Profile Screen. You can also update your password and log out of your account from the Profile Screen.

8. International Data Transfers

Depending on your location, the Personal Information we collect may be transferred to, stored in, or processed in countries other than your own. Some of the third parties we work with may store or process information using servers located in different jurisdictions.

Where we transfer your Personal Information to countries that may not have equivalent data protection laws, we take reasonable steps to ensure that appropriate safeguards are in place and that recipients handle Personal Information in accordance with applicable privacy obligations. These safeguards may include Standard Contractual Clauses or other legally recognized transfer mechanisms.

9. Region-Specific Disclosures

9.1 European Economic Area and United Kingdom (GDPR / UK GDPR)

If you are located in the European Economic Area ("EEA") or the United Kingdom ("UK"), the following applies:

Legal Basis for Processing:

We process your Personal Information based on one or more of the following lawful bases:

  • Your consent, where required for particular processing activities
  • Performance of a contract with you (e.g., creating your account, providing our Services)
  • Compliance with a legal obligation
  • Legitimate interests pursued by us (e.g., improving our Services, maintaining security), provided these are not overridden by your rights and interests

Your Rights Under GDPR:

In addition to the rights listed in Section 7, you have the right to:

  • Lodge a complaint with your local supervisory authority if you believe your data protection rights have been violated
  • Withdraw your consent at any time where we relied on your consent to process your Personal Information

Data Transfers:

When we transfer Personal Information outside the EEA or UK, we ensure adequate safeguards are in place, which may include Standard Contractual Clauses or other legally recognized transfer mechanisms.

9.2 California Residents (CCPA / CPRA)

If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA), including the right to:

  • Request deletion of your Personal Information
  • Request correction of inaccurate Personal Information
  • Opt out of the "sale" or "sharing" of your Personal Information for cross-context behavioral advertising

We do not sell Personal Information or share Personal Information for cross-context behavioral advertising.

9.3 India (Digital Personal Data Protection Act, 2023)

If you are located in India, the following applies in compliance with the Digital Personal Data Protection Act, 2023 ("DPDP Act"):

Role and Responsibility:

ZyncQ acts as the Data Fiduciary under the DPDP Act, determining the purpose and means of processing your personal data. You, the individual whose data we process, are the Data Principal.

Consent:

We collect and process your personal data only for lawful purposes related to providing and improving our Services. Your consent is obtained before processing personal data, and you may withdraw your consent at any time by contacting us at support@zyncq.com. Upon withdrawal, we will stop processing your data except where processing is required by law.

Data Retention and Deletion:

We retain personal data only for as long as necessary to fulfill the purposes described in this Policy or as required by applicable law. When you withdraw consent or delete your account, your data is securely erased or anonymized unless retention is legally required.

Cross-Border Data Transfers:

Your personal data may be stored or processed on servers located outside India. Such transfers are conducted in accordance with the DPDP Act and applicable government guidelines, ensuring that your data continues to receive adequate protection.

Your Rights as a Data Principal:

Under the DPDP Act, you have the right to:

  • Access the personal data we hold about you
  • Request correction, completion, or erasure of your data
  • Raise a grievance regarding our data processing practices

Grievance Redressal:

For any concerns or complaints related to your personal data under the DPDP Act, you may contact our Grievance Officer at support@zyncq.com. We will acknowledge and resolve your query in accordance with the timelines prescribed under Indian law.

10. Cookies and Tracking Technologies

10.1 Web Application

The ZyncQ web application may use cookies and similar technologies to:

  • Recognize when your device has visited our website before
  • Enable website functionality and remember your preferences
  • Understand how visitors use our website
  • Improve your experience on our website

Types of Cookies We Use:

  • Necessary Cookies: Required for core functionality such as logging in and navigating the application.
  • Functionality Cookies: Provide enhanced features and personalization, such as remembering your theme preferences.
  • Analytics Cookies: Help us understand how users interact with our web application to improve performance and user experience.

We do not use advertising or tracking cookies.

If you do not wish to accept cookies, you can adjust your browser settings to block or delete cookies. Please note that disabling cookies may affect the functionality of the web application.

10.2 Analytics

We may use analytics tools (such as Google Analytics) to help us understand visitor traffic and usage patterns so we can improve our Services. These tools may collect technical information such as IP address, device information, pages visited, and interactions. This information is typically analyzed in aggregated or de-identified form.

11. Third-Party Links

The Software Applications and Services may contain links to third-party websites or services that are not owned or controlled by us. We are not responsible for the privacy practices of such third parties. We encourage you to review the privacy statements of each third-party website or service that you visit.

12. Children's Privacy

The Software Applications and Services are not directed to individuals under the age of 18. We do not knowingly collect Personal Information from children under the age of 18. If you are under 18, please do not submit any Personal Information through the Software Applications and Services.

We encourage parents and legal guardians to monitor their children's online activity. If you have reason to believe that a child under 18 has provided Personal Information to us, please contact us immediately, and we will take steps to delete such information from our records.

13. File Uploads

The Software Applications allow you to upload certain files as part of your digital card creation:

  • Profile Pictures and Company Logos: Image files uploaded for display on your digital cards.
  • Company Profile Documents: PDF, PPTX, or DOCX files, with a maximum file size of 5 MB.

Uploaded files are stored securely on our servers and are accessible through your digital card when the associated QR code is scanned or the shareable URL is accessed. When you delete a digital card or your account, associated uploaded files are also deleted.

14. Theme Support and Display

The ZyncQ mobile application supports light mode only.

The ZyncQ web application supports both light mode and dark mode.

Theme preferences do not involve the collection of additional Personal Information.

15. Changes and Amendments

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other operational needs. If we make material changes, we will take reasonable steps to notify you, which may include sending an email or providing notice through the Software Applications.

Any updated version of this Privacy Policy will be effective when it is posted, unless otherwise specified. Your continued use of the Software Applications and Services after the updated Privacy Policy becomes effective indicates your acknowledgement of the revised Policy.

We will not, without your consent, use your Personal Information in a manner materially different from what was stated at the time your Personal Information was collected.

16. Acceptance of This Policy

By accessing or using the Software Applications and Services, you acknowledge that you have read this Policy and agree to all its terms and conditions. If you do not agree to abide by the terms of this Policy, you should not access or use the Software Applications and Services.
